Fees & Permitted Payments
Key Moment Ltd, trading as KeyMoment (company number 17350405; registered in England and Wales; registered office A6 Kingfisher House, Kingsway, Gateshead, NE11 0JQ). This page sets out the fees KeyMoment charges to landlords and the payments that may lawfully arise from a tenant in connection with a tenancy.
Landlord — Tenant Find fee
Fee terms
- £500 fixed fee.
- No VAT currently charged.
- £250 payable on instruction, £250 payable when the tenancy is signed.
- If we have not produced a referenced applicant within 30 days of your property going live, the first £250 is refunded in full, or carried forward to a future instruction if you prefer. Your choice.
- Includes accompanied viewings up to three viewing blocks.
- Property Redress Scheme member PRS059901.
- £500 fixed fee per property.
- No VAT currently charged.
- What it covers, subject to the signed service scope: marketing preparation, tenant enquiry handling, viewing coordination, application administration, referencing coordination, Right to Rent administration where agreed, applicant summary preparation, agreed tenancy setup, and landlord final approval of the applicant.
- What it does not cover: inventory and check-in, professional photography beyond the standard package, EPCs, gas or electrical safety certificates, deposit protection fees, portal-specific upgrades, or any ongoing property management.
- There is no requirement for the landlord to purchase ongoing management alongside Tenant Find. The £500 covers the Tenant Find service only. Inventory and check in, professional photography beyond the standard package, EPCs, gas and electrical safety certificates, deposit protection fees and portal specific upgrades are not included and are charged separately if requested.
KeyMoment does not guarantee a tenant, a particular rent, letting speed, referencing outcome, or specific portal placement unless confirmed in writing in a signed service scope.
Related business disclosure
KeyMoment may refer landlords to Sunderland Landlord Compliance for compliance services. The two businesses share a common interest. Landlords are under no obligation to use any business we refer them to and are free to use any provider they choose. We will tell you about this connection in writing before any referral is made.
Tenant — permitted payments
Under the Tenant Fees Act 2019, the only payments a tenant can be required to make in connection with an assured tenancy in England are the permitted payments below. KeyMoment does not charge applicants or tenants an administration, viewing, application, referencing or check-in fee.
- The rent.
- A refundable tenancy deposit, capped by law (typically up to five weeks' rent where the annual rent is under £50,000).
- A refundable holding deposit of no more than one week's rent, to reserve a property.
- Payments in the event of a default (for example a lost key or interest on unpaid rent), only as permitted by law.
- Payments in respect of utilities, communication services, television licence and council tax where the tenancy provides for them.
- A payment for early termination of the tenancy, at the tenant's request.
- A payment to change the tenancy or for a variation, capped at £50 (or reasonable costs if higher).
Rent in advance
Since 1 May 2026, rent cannot be requested or accepted before a tenancy agreement has been entered into by both parties. Once the agreement is signed, up to one rent period of initial rent may be requested before the tenancy starts, and a holding deposit may be set against it. KeyMoment does not receive or hold any of these payments.
Cancellation
Landlord clients receive written Terms of Business before any payment is taken, including cancellation rights. If you are entering into the agreement as a consumer you have 14 days to cancel from the date of agreement. If you ask us to begin work within that period you may be charged for work completed before you cancel.
Client money
KeyMoment does not currently receive or hold rent, holding deposits, tenancy deposits, maintenance funds or other client money. KeyMoment does not operate a client account and is not currently a member of a Client Money Protection scheme.
Any rent, holding deposit or tenancy deposit connected with a tenancy is handled through the route identified in the applicable written tenancy and service arrangements — typically direct between tenant and landlord, or through a government-approved deposit scheme. KeyMoment does not receive, hold, register or protect those funds.
Redress
KeyMoment is a member of the Property Redress Scheme (membership no. PRS059901). Property Redress is free for consumers to use. See our Complaints Procedure for how to raise a concern.
