How Tenant Find works, step by step

What KeyMoment does at each stage of the £500 fixed-fee Tenant Find service, from first enquiry to signed tenancy.

Tenant Find is a fixed-fee service where KeyMoment prepares the property, markets it, coordinates viewings, administers applications and referencing, and hands you a documented applicant summary. You keep ongoing management. The fee is £500 per property, no VAT currently charged.

1. Enquiry and appraisal

You send us the property details through the landlord enquiry form. We review location, size, condition, EPC and comparable lettings, then come back with a suggested marketing rent. The appraisal is a suggestion, not a valuation or a guarantee — you set the asking rent.

2. Readiness check

Before marketing goes live we confirm the safety basics: in-date gas safety certificate where applicable, EICR, an EPC that meets the current minimum, working smoke and CO alarms, and any known repairs completed. We will not launch marketing on a property that is not ready.

3. Marketing

We prepare photography-led particulars and list the property. Portal exposure depends on the marketing package agreed in writing at instruction. Enquiries come to KeyMoment; we filter for basic suitability before booking viewings.

4. Viewings

We coordinate accompanied viewings by appointment. Access arrangements for keys are agreed with you in writing before viewings start.

5. Application and referencing

Interested applicants complete a formal application. We run identity, Right to Rent, income affordability and previous tenancy checks through an established referencing provider. Guarantors are referenced on the same basis where used. We do not use protected characteristics in the decision process and we do not apply blanket bans on benefit income or families with children.

6. Applicant summary and your decision

We send a written summary of the referenced applicant. The landlord retains the final decision on every applicant. KeyMoment does not accept or reject tenants on your behalf.

7. Tenancy setup and handover

Once you approve, we administer the agreed tenancy setup: AST paperwork, prescribed information, deposit registration (protected by the deposit scheme, not KeyMoment), and move-in day handover. From that point the property is handed back to you for ongoing management.

Not included: ongoing management, rent collection, holding client money, deposit protection by KeyMoment, maintenance coordination after move-in, and arrears management after handover.
